Linked or separate
With linked numbers, a job, its quotes and its invoices share one number. Job JOB-2026-1042 has quote QUO-1042 and invoice INV-1042, and a second quote or invoice on the same job ends in -2, -3. Anyone can tell at a glance which job a quote or invoice belongs to. New businesses start on linked numbers.
With separate numbers, jobs, quotes and invoices each count on their own.
Change it
A number already given out is never used again, so the next number can be raised but not lowered below one already used. With an accounting package connected, VexOp warns you when a number is too long for it.
- 1.Go to Settings, then Invoicing & Numbering, then Numbering.
- 2.Choose Linked numbers or Separate numbers. The example shows what your next numbers will look like.
- 3.Set the prefix, suffix and next number for each kind of record.

Payment terms
Set when invoices fall due: a default for the business, terms by client type, and terms for a single client.
Variations: pricing a change and getting it approved
Price a change to a quote your customer has accepted, have them approve and sign it before the work, and the job’s contract keeps up.

Cost every line of a quote, price it with a markup, see your margin before it goes out, and turn the accepted quote into the job’s budget.
Progress claims: claiming a job in stages, with retention
Set up a job’s claims by stage or by percent complete, make each claim as an ordinary invoice with its claim table, and hold and release retention.
Purchase orders: ordering from suppliers and matching their bills
Order materials for a job, approve big orders, record deliveries as they arrive and check each supplier bill against what was ordered and received.
