Getting started
The getting started checklist
Ten setup steps take your account from empty to running real work, and each one ticks itself off as you go.
Your first week with VexOp
A suggested path through your first few days: make it yours, load your clients, quote, schedule, invoice, then review.
How to review your ServiceM8 import
Some jobs need a quick yes or no from you after a ServiceM8 import. Each answer is kept, so you are never asked twice.
Install VexOp+ on your computer
Install VexOp+ as an app so it opens in its own window, then pin it to your taskbar or Dock.
Jobs & scheduling
Jobs and the Operations board
Operations is your job cockpit: five views of the same work, from a live map to workflow streams.
My Day: the daily run sheet
My Day shows each person their own day: bookings, assigned jobs, clocking on and off, and what the team is up to.
Custom forms
Build reusable form templates for inductions, safety checks and sign-offs, and collect submissions against jobs.
Travel kilometres and the Travel report
Tapping On my way records the driving kilometres on the job, and the Travel report adds them up per person and per job.
Service agreements: visits made for you, assets and renewals
Set up a service plan for a client’s site: the assets you look after, how often you visit and the price. Each visit is made as a job ahead of its date, every asset keeps its history, and you are told before an agreement ends.
Quoting & invoicing
Quoting with the Quote Calculator
Build itemised quotes from your own price library, send them, and convert accepted quotes straight into jobs and invoices.
Invoices and getting paid
Create invoices from accepted quotes, track what you are owed, and record payments with automatic receipts.
How jobs, quotes and invoices are numbered
Choose linked numbers, where a job, its quotes and its invoices share one number, or separate numbers that each count on their own.
Approving quotes and invoices before they are sent
Have an owner check the quotes and invoices your team makes before they reach the customer, every one or only those over an amount.
Payment terms
Set when invoices fall due: a default for the business, terms by client type, and terms for a single client.
Variations: pricing a change and getting it approved
Price a change to a quote your customer has accepted, have them approve and sign it before the work, and the job’s contract keeps up.
Estimating: costs, markup and margin behind your quotes
Cost every line of a quote, price it with a markup, see your margin before it goes out, and turn the accepted quote into the job’s budget.
Progress claims: claiming a job in stages, with retention
Set up a job’s claims by stage or by percent complete, make each claim as an ordinary invoice with its claim table, and hold and release retention.
Purchase orders: ordering from suppliers and matching their bills
Order materials for a job, approve big orders, record deliveries as they arrive and check each supplier bill against what was ordered and received.
Clients & comms
Clients and the CRM
Every customer in one place: contacts, sites, jobs, quotes, invoices and the full history of every conversation.
Templates and merge fields
Write your emails, SMS and documents once. Merge fields fill in the job and client details at send time.
Automations
When something happens to a job, quote or invoice, VexOp runs your follow-up steps so you do not have to remember.
The email inbox
A shared inbox for your business: customer replies thread back automatically and file against jobs and clients.
The client portal
Give customers a secure page of their own quotes, jobs and invoices, branded to your business, no password needed.
Team & HR
Adding your team and what employees see
Invite your staff, choose what they can do, and know exactly what an employee sees when they sign in.
HR, timesheets and leave
Track time against jobs, approve weekly timesheets and store employment documents.
The mobile app for field crews
VexOp Field is the iPhone app your crew uses on site: their day, jobs, time, photos, signatures and quotes.

Settings & billing
Finding your way around Settings
Settings is ordered by how often you use each part, starting with Automations and Templates. Your own settings are on My profile.
Connecting Xero, QuickBooks or MYOB
Connect Xero, QuickBooks Online or MYOB, and each invoice goes across when you send it and payments show on both sides.
The Integrations & Add-ons page
Everything VexOp connects to in one place, and the add-ons you can switch on: accounting, customer payments, email, texts, your website, calendar feeds and data import.
Switching add-ons on and off
Add-ons are extra parts of VexOp+ an owner switches on in Integrations & Add-ons. Switching one off hides it everywhere and deletes nothing.
AI connections: Claude, ChatGPT and Perplexity
Connect your own Claude, ChatGPT or Perplexity (beta) to VexOp+, so it can look up your jobs, clients, quotes, invoices and schedule. It only reads, and it sees only what you can see.
Billing and your subscription
Your VexOp plan, card and charges live in Settings under Plan and billing, with exact amounts shown before anything is charged.
Two-factor authentication
Add a second check at sign-in so a stolen password alone cannot open your account.
My profile and your own settings
Your password, two-step sign-in, email signature, forwarding address and calendar feed live on My profile, not in Settings.
Still stuck?
