Jobs and the Operations board

Operations is your job cockpit: five views of the same work, from a live map to workflow streams.

What a job is

A job is the core object in VexOp. It carries a status, a customer, scheduled bookings, assigned staff, timesheets, expenses, photos and files, and a full activity timeline of everything that has happened.

Job statuses progress Pending, Quoted, Scheduled, On Route, In Progress, On Hold, Awaiting Sign-off, then Completed, Cancelled or Unsuccessful. Sending a quote moves a Pending job to Quoted, and a booking moves a Pending or Quoted job to Scheduled. Statuses are more than labels: automations can fire when they change, and streams use them to know when work has moved on.

The five views

Operations shows the same jobs five ways. Switch views with the toggle at the top, or press keys 1 to 5.

  1. 1.Map: your jobs and on-duty staff on a live map. Best for dispatch and seeing who is closest.
  2. 2.Calendar: bookings laid out by day, week or month.
  3. 3.Schedules: each staff member as a row across time, so you can see who is free.
  4. 4.Board: kanban columns by status. Drag a job to change its status.
  5. 5.Streams: your work queues, each with a timeframe, so nothing sits unnoticed.

Creating and opening jobs

  1. 1.Click New Job at the top right of Operations.
  2. 2.Pick the client, or create one on the spot, and add the site address and a description.
  3. 3.Click any job to open its detail page: work details on the left, the activity timeline on the right.

Scheduling and assigning

Add one or more bookings to a job and assign staff to each. Assigned staff see the work on their My Day page and in the VexOp Field app, with the address ready to navigate to. When they head off, the job can move to On Route, and customers can be sent a tracking link automatically.

Streams

A stream is a queue with a service-level timeframe, for example New enquiries, 48 hours. Jobs assigned to a stream sit in it until their status reaches one of the stream’s exit statuses, then they leave on their own. Build streams under Settings, then Workflow, then Streams, and assign jobs to them from the job or through automations.
