You do not need to learn everything at once. VexOp is built so the core loop, quote to job to invoice, works on day one, and everything else layers on when you are ready. Here is a sensible first week.
Day one: make it yours
Fill in your company details, upload your logo and set your operating hours. The guided tour on your first sign-in walks you through the main areas: your profile, clients, quoting, scheduling, invoicing and reports. You can replay any part by just opening those pages and looking around, nothing in VexOp breaks from clicking.
Day two: load your clients
Add your regular clients under Clients. Each client record holds contact details, sites, and a full history of every job, quote, invoice and message. If you are moving from another system such as ServiceM8, do not retype anything: raise a request in the Partner Hub and the VexOp team will migrate your data for you as part of your subscription.
Day three: quote and schedule real work
- 1.Open the Quote Calculator and build a quote for a real upcoming job.
- 2.Send it to the client by email straight from the quote.
- 3.When it is accepted, convert it to a job. The line items carry across.
- 4.Open Operations, add a booking to the job and assign your staff.
Day four: invoice and get paid
Create the invoice from the accepted quote, full amount or a deposit, and send it. When the money arrives, mark the invoice paid and the customer automatically receives a receipt.
Day five: switch on the machine
Open Reports to see what the week produced. Then set up one automation, for example chasing unpaid invoices or confirming bookings, so VexOp starts doing the follow-up work for you.
When your team is ready, add them under HR and get the field crew onto the VexOp Field iPhone app. From then on their day runs through My Day.
