How an automation works
An automation is a trigger plus a series of steps. When the trigger fires, the steps run in order, with optional delays between them and stop conditions that end the run when the situation resolves itself.
Triggers
Automations can fire when a job is created, a job status changes, a quote is sent but not accepted, an invoice goes unpaid, a booking is created, a job is assigned to a stream, a new lead arrives from your website, or VexOp replies to one of your Partner Hub requests.
Steps
Each step can send an email from a template, send an SMS, change the job status, add a note, assign the job to a stream, assign staff, or notify your team in-app. Mix them freely: for example, quote sent but not accepted after 3 days, email a nudge, wait 4 more days, SMS, then notify you to ring them.
Build one
- 1.Go to Settings, then Automations, and create a new automation.
- 2.Pick the trigger and any conditions.
- 3.Add your steps and delays, and set a stop condition, for example stop when the quote is accepted.
- 4.Enable it. Due steps are processed about every 15 minutes.
Trust and visibility
Every message an automation sends is logged on the client and job activity timelines, and the automation log shows each run. You can pause any automation with its toggle, and messages respect your Sending rules (Settings, then Messaging).
