Clients and the CRM

Every customer in one place: contacts, sites, jobs, quotes, invoices and the full history of every conversation.

The client list

Clients holds every customer and lead. You can browse it as a list or as a pipeline of stages, from new lead through to regular client, and search across the lot. Client stages are yours to rename under Settings, then Workflow, then Client stages.

A client record

Open a client to see their contact details, sites, and every job, quote and invoice they have ever had, plus an activity timeline of emails, SMS and portal messages. When a customer rings about something from months ago, the answer is on one page.

Payment terms for one client

A client can have payment terms of their own. Set Payment terms on the client page: due on receipt, a number of days, or a number of days after the end of the month. Their new invoices fall due on those terms. See the article on payment terms.

Quick actions

  1. 1.New Job or New Quote: start work for this client with their details prefilled.
  2. 2.Email or SMS: message them, with templates and merge fields available.
  3. 3.Send Portal: email them secure access to their own quotes, jobs and invoices.

Leads from your website

If you have published a website with the website builder, contact form enquiries land in your CRM as leads automatically, and can trigger an automation, for example an instant reply that you will be in touch.

Health and follow-ups

VexOp generates client health scores and follow-up tasks from activity, so quiet clients get noticed before they drift off to someone else.
